Reports
The Operations Reports hub handles your compliance and outcomes reporting: the Shelter Animal Count (SAC) report for funders, bite quarantine tracking, and a full outcomes and memorials log.
Go to Reports in the left nav. The hub has four tabs: SAC Report, Quarantine & Compliance, Outcomes & Memorials, and Data Exports.
SAC Report tab
The Shelter Animal Count (SAC) report is the standardized data format used by funders, coalitions, and grant applications to measure rescue outcomes. Fosterling generates it automatically from your animal records.
Generating a SAC report:
- Select the year and month you want to report on -- the SAC report is generated one month at a time. For a full year, run and export it month by month.
- The report auto-calculates: intakes by species and source, outcomes (adopted, transferred, returned to owner, euthanized, died), and live release rate.
- Click Export CSV to download.
Quarantine & Compliance tab
Track bite incidents, quarantine cases, and vaccination compliance across your animals. This tab is especially important for rescues that handle animals involved in bite incidents or that operate in jurisdictions with mandatory quarantine reporting. It has four sub-tabs: Overview, Bites, Quarantines, and Vaccinations.
Logging a bite incident:
- Click Log bite.
- Link the animal, then enter the victim's name and relationship to the animal, severity, whether the bite was provoked, where on the body it occurred, and the circumstances.
- Check off whether medical attention was sought and whether it was reported to animal control.
- Click Log incident to save.
Starting a quarantine:
A quarantine is a separate action from logging a bite -- click Start quarantine, link the animal, and choose a reason: bite observation (10 days), unknown vaccination status, rabies exposure, or intake isolation. Set the required number of days and the quarantine location, then save. There's no daily-observation log in this flow -- track day-to-day notes on the animal's own record if you need them.
Vaccination compliance:
The Vaccinations sub-tab shows all animals due for vaccinations in the next 30 days. Animals are flagged if they're past due. Filter by species or vaccine type.
Outcomes & Memorials tab
A complete record of every animal outcome -- adoptions, transfers, returns to owner, euthanasias, and deaths. Animals that have passed are listed here with a memorial entry.
Recording an outcome:
- Click Record outcome on the Outcomes & Memorials tab and select the animal.
- Choose the outcome type (including deceased/euthanized) and date, and fill in who authorized it, the attending vet, a reason, and any internal notes.
- For a passing, toggle Publish a public memorial page to add a title, URL slug, photo, and memorial story -- this publishes straight to your public microsite alongside your outcomes record, no separate step required.
- The animal's outcome appears here and on its own record, and is excluded from all active animal counts.
Data Exports tab
A dedicated place to pull any operations dataset out as a CSV or a real Excel (.xlsx) workbook: contacts, animals, donations, volunteer hours, foster placements, foster homes, inventory, and event attendance. Every export is scoped to your organization and reflects what you can already see in the app.
Exporting a dataset:
- For time-bound exports -- donations, volunteer hours, and event attendance -- set the shared From / To date range at the top of the tab. Contacts, animals, foster placements, foster homes, and inventory always export in full, regardless of the date range.
- Click CSV or Excel on the dataset's card.
- The file downloads with the dataset name and date stamped into the filename. If nothing matches the range, you'll see a "nothing to export" notice instead of an empty file.
- What if my SAC numbers don't match my expectations?
- The most common cause is a status that wasn't updated when an animal left your care. Check for animals in 'In foster' or 'Available' status with an intake date well before your reporting period -- they may need their outcome recorded.
- Can I generate a SAC report for a specific species only?
- Yes -- after generating the full report, use the species filter to view just dogs or just cats. The exported CSV respects the active filter.
- Who can see the Quarantine & Compliance tab?
- Admins and coordinators can open new bite incidents and quarantine cases. Check with your admin if you're unsure whether your role has access.
- Can I add a photo to a memorial?
- Yes -- the animal's existing photos (on the Photos & Videos tab) appear in the memorial view. The primary photo is displayed.
